Key Accountabilities
  • Provide oversight and direction for all aspects of administrative and scheduling support such as agenda setting, recording directions and meeting discussions, administrative and operational tasks related to the Chairman’s Office.
  • Establish and maintain processes, standards and guidelines for the department to manage the Chairman’s schedule in order to achieve optimal time utilization while ensuring close oversight on key matters relevant to the Chairman’s priorities.
  • Oversee and manage the input and integrity of data, including quality and accuracy reviews to ensure measures and preparations (e.g., reporting packs and dashboards) are in place to proactively keep the Chairman informed with latest developments on agenda and administrative affairs.
  • Collaborate and work closely with relevant stakeholders, ADEO’s senior management and Chairman Office’s leadership team to ensure relevant flow of information and viewpoints to facilitate critical decision-making by the Chairman.
  • Oversee the development and distribution of materials (e.g., minutes of meeting, memos, background documents, presentation materials etc.) to distill critical issues and effectively drive the agenda for the Chairman office
  • Oversee the overall maintenance of record keeping of proceedings, facilitate oral / written answers on questions raised, and other all relevant papers for presentation to ensure conformance with ADEO’s strategy and AD government policies.
Preferred Experience And Exposure
  • Proven working experience in Government and / or Government related entities with a successful track-record providing administrative / secretarial and correspondence support to Executive leadership.
  • Strong working knowledge of public agency governance procedures.
  • Proven ability to manage senior stakeholders and confidential and sensitive information with high level of discretion, integrity and diplomacy as well as accuracy, and timeliness.
